Temporary Position: Personal Assistant to CEO & COO / Office Manager
To cover a maternity and parental leave, we are looking for a skilled individual to join our team on a temporary full-time contract (CDD) of 12 months, with the possibility of extension depending on business needs. Based in Merl (Luxembourg), the successful candidate will report directly to the CEO and COO and play a key role in both executive assistance and office operations. A proper handover will be ensured prior to the start of the mission.
Key Responsibilities & Missions:
Coordinate complex calendars and meetings for the CEO, COO, and Sales & Marketing teamsManage business travel bookings, expense reports, and frequent flyer programs
Prepare and format reports, presentations, and internal documents
Handle confidential files, NDAs, and sensitive correspondence with the utmost discretion
Ensure smooth daily office operations, including supplies, vendor relations, and facilities oversight
Liaise with external IT partners to troubleshoot technical issues
Welcome visitors, manage phone lines, and ensure a tidy, professional reception area
Support onboarding and offboarding processes in coordination with HR
Organize employee events, birthdays, after-works, and larger internal or client events
Coordinate training schedules and assist with state-funded training declarations
Candidate Profile
Minimum 3 years of experience in a Personal Assistant and/or Office Manager roleHigh level of discretion, confidentiality, and reliability
Proactive, service-minded, and able to manage multiple priorities with ease
Strong communication skills in English; additional languages such as French, German or Luxembourgish are a plus
Excellent command of Microsoft Office tools (Outlook, Word, Excel, PowerPoint)
Familiarity with basic HR, invoicing, and training coordination processes is a strong asset
