3F Venture is a Luxembourg-based venture studio that accelerates the commercial success of emerging companies by allocating resources across multiple ventures.
We are looking for an Operational Project Manager to join the COO’s team. In this role, you’ll be at the center of daily operations and cross-functional projects: structuring reports, coordinating hiring, managing freelancers and vendors, and ensuring projects run smoothly from idea to execution.

This position is on-site at our Luxembourg office.
Job Description
Responsibilities:
1. Project Coordination & Execution
- Plan, track, and deliver operational projects (e.g. process rollouts, client integrations, internal events, vendor management).
- Break down goals into actionable steps, set priorities, and follow through on execution.
- Align stakeholders across business, service, and compliance teams to hit deadlines.
2. Reporting & Documentation
- Build and maintain internal reporting systems (dashboards, trackers, meeting notes).
- Organize, file, and maintain accounting and legal documents, ensuring compliance with Luxembourg standards.
3. Hiring & Vendor Management
- Support recruitment processes (candidate coordination, interview scheduling, freelancer onboarding).
- Manage relationships with vendors, consultants, and freelancers to ensure high-quality and cost-efficient outcomes.
4. Research & Analysis
- Conduct research on operational, regulatory, and industry topics.
- Present findings in a clear, actionable way to support the COO and leadership team.
5. Communication & Coordination
- Act as a link between the COO and teams, ensuring updates, priorities, and tasks are communicated clearly.
- Draft summaries, briefs, and follow-ups to keep projects moving.
- Liaise with external stakeholders such as regulators, partners, and government bodies when needed.
Requirements:
- Proven experience as Project Manager, Operations Manager, or Assistant in startups, fiduciaries, or fast-paced environments.
- Strong organizational and process-building skills.
- Proficiency with MS Office Suite, Google Workspace, Notion, and project management tools.
- Excellent written and verbal communication skills.
- Fluency in English and French; German is a plus.
- Detail-oriented, proactive, and adaptable — able to manage multiple projects at once.
- Collaborative mindset with the ability to work independently and take initiative.
