Introduction
As part of our IT Europe organization, the Project Associate provides support to Group CIO and also CIO AMDS / Corporate CIO. Position is based in Luxembourg in our HQ building. Working in partnership with leaders, HRs and other traversals organizations, the Project Associate ensures alignment of the business strategies with a focus on performance management, reporting, supporting Group CIO and CIO AMDS/Corporate CIO on day-to-day support.
Key Responsibilities
Project Coordination:
Monitor, organize, and improve project tracking systems for the Senior Management and organize and maintain relevant program files. This includes researching potential initiatives and events, creating project proposals, etc.
Collaborate with members of the department to evaluate progress and refine plans, while exercising sound judgment for project progress and project direction on behalf of the Head of Department. Evaluate and provide feedback on submitted data from the teams. This could involve editing documents, maintaining a current knowledge of division priorities, providing relevant responses, etc.
Data Management:
Manage all incoming IT data files, support in developing and implementing procedures for effective data management. Regularly monitor and evaluate information and data systems that could affect analytical results.
Executive assistance:
Provide high-level support for the Senior Management. Manage and organize key meetings, and prepare for meetings, track, and prepare budget reports. Take meeting minutes and follow-up on action items. Coordinate plans (travel, content, and event) for the function. Regularly handles confidential material and information and exercises discretion in doing so. Performs other duties as required to ensure the smooth operation and responsiveness of the department and associated activities.
Coordinate regular project meetings to discuss current happenings across the department, identifies room for improvement in processes and implements solutions. Plan, coordinates & implements the content of department-wide meetings. The individual designs program or project vision, goals, objectives, and methodology.
Experience:
- Minimum of 3-5 years of related experience
- Master’s degree required
- Proficiency with Microsoft Office
Skills:
- Strong Analytical skills: ability to work with large number of data.
- Ability to manage and interpret figures and data.
- Strong oral communication skills along with well-developed writing,
- Highly organized, with great attention to detail
- Strong project management and problem-solving skills
- Ability to prioritize tasks effectively in fast-paced environment with shifting demands
- Ability to work under pressure, and to drive change
- Strong sense of confidentiality.
- Proficiency in office software (e.g., Microsoft Office Suite, scheduling tools, video conferencing platforms) and the ability to quickly learn new tools is important.
- Attention to Detail – Precision in handling logistics, documents, and communications helps prevent costly errors and ensures a professional standard.
- Fluency in English, French is a plus
