About the role:
As an Office Assistant, you will offer secretarial/administrative support to the Luxembourg office. The successful candidate will be responsible for general admin/coordination and reception duties for the office. You will be the main point of contact for internal and external business relations.
In this role, you will:
- Offer office admin and secretarial support
- Mainly provide follow up on legal and tax agreements to keep Luxembourg records up to date.
- Follow up on approval of invoices, PO’s and other documents.
- Produce internal invoices, Purchase Orders and other documents, as required.
- Make travel arrangements (taxis, flights, hotels, etc).
- Organize board meetings and provide assistance.
- Place stationery, equipment, groceries orders and make sure the office is well supplied.
- Sort and distribute incoming mails, send out outgoing mails.
- Answer (and redirect) phone calls.
- Welcome visitors and suppliers.

- Good command in Excel
- Computer literate
- Speak and write French and English fluently
- A fast learner with experience of change management
- Experience with similar position
- Ability to work independently and as part of a team
- 5 days office based function
Education
- Secretarial or administrational education or equivalent work experience
